Who we are

Nautic IT ApS is the data controller for the personal data described in this policy. If you have questions about how we handle your data, or you want to exercise any of the rights described below, write to privacy@nautic-it.com.

What this policy covers

This policy explains what we do with personal data collected through this website and through the enquiries, support requests and business relationships that follow from it. It applies to visitors to nautic-it.com and to the people we deal with at customer and prospective customer companies.

What we collect, and why

When you visit the website. If you accept cookies, we collect information about how you use the site: pages viewed, how you arrived, and a browser identifier that lets us recognise you on a later visit. If you decline, none of this is collected and the site works exactly the same. Our legal basis is your consent, which you can withdraw at any time using the Cookie settings link in the footer.

When you request a quote or contact us. We collect the details you give us: your name, company, work email, phone number, and what you tell us about your situation. We use this to answer you and, if it goes further, to prepare a proposal. Our legal basis is your consent and our legitimate interest in responding to enquiries about our services.

When you become a customer. We hold contact details for the people we work with at your company, records of the support you request, and information about your IT environment necessary to deliver the service. Our legal basis is the performance of our agreement with you, and our legal obligations where invoicing and bookkeeping are concerned.

When you contact support. Ticket contents, correspondence, and where you have asked us to connect to a device, records of that session.

Cookies

We use cookies for analytics and to recognise returning visitors. We do not use advertising cookies and we do not sell data to anyone.

Cookies that are not strictly necessary are only set after you accept them. You can change your choice at any time through the Cookie settings link in the footer of every page.

Who else processes your data

We use a small number of suppliers who process personal data on our behalf, under data processing agreements.

We do not share your personal data with anyone else, except where we are required to by law.

Transfers outside the EU and EEA

Our HubSpot data is hosted on servers in the European Union. Some of our suppliers are established outside the EU or have parent companies there, which means personal data may in some cases be transferred outside the EU or EEA. Where that happens, the transfer is covered by the European Commission's Standard Contractual Clauses or another valid transfer mechanism.

How long we keep it

Enquiries that do not become customers: 24 months after our last contact with you, then deleted.

Customer data: for the duration of our agreement, and afterwards for as long as we may need it to handle questions or claims arising from the work.

Anything connected to invoicing: five years from the end of the financial year it relates to, because Danish bookkeeping law requires it.

Website analytics: according to the retention period set in our analytics tool, and only for visitors who consented.

Your rights

Under the GDPR you have the right to:

  • ask what personal data we hold about you and get a copy of it
  • have inaccurate data corrected
  • have your data deleted, where we have no continuing reason to keep it
  • ask us to restrict how we use it, or object to our use of it
  • receive data you gave us in a portable format
  • withdraw consent at any time, where our basis for processing is consent

Write to privacy@nautic-it.com and we will respond within one month.

If you are not satisfied with how we handle your request, you can complain to the Danish Data Protection Agency, Datatilsynet, Carl Jacobsens Vej 35, 2500 Valby, datatilsynet.dk.

Changes to this policy

If we change how we handle personal data, we will update this page and change the date at the top. If the change is significant, we will tell affected customers directly rather than relying on you to notice.
